We are looking for a reliable and well-organized Administrative Secretary to support office operations and streamline workflow procedures. The ideal candidate will assist with administrative and secretarial duties in a professional and efficient manner.

RESPONSIBILITIES

  1. Serve as the liaison between the company secretary and the management team
  2. Maintain updated lists of board members, volunteers, and partners
  3. Receive, draft, and transmit letters and emails
  4. Answer phone calls and redirect them as needed
  5. Prepare travel arrangements and trips
  6. Organize meetings and take minutes
  7. File and archive documents and records
  8. Prepare and circulate internal and external correspondence
  9. Organize, create, and update employee, client, and partner files
  10. Support and facilitate the drafting of regular reports
  11. Manage the agenda of the Director and Deputy Director when needed
  12. Monitor office supply levels and place appropriate orders
  13. Provide front desk/reception cover when necessary
  14. Perform any other tasks assigned by the management

PROFILE

  • Integrity, discretion, professionalism, and diplomacy
  • Excellent multitasking and time management abilities
  • Strong writing skills in both French and English
  • Responsiveness and efficiency
  • Ability to build and maintain good relationships with the public by phone and in person
  • Proficiency in office software: spreadsheets, word processing, email, general Internet use
  • Minimum of 2 years’ proven experience as a secretary or administrative assistant

QUALIFICATION:
BTS (Higher Technician Certificate) in Secretarial Studies

CONTRACT TYPE:
1-year renewable fixed-term contract (CDD), with the possibility of becoming a permanent contract (CDI)

WEEKLY HOURS:
40 hours/week

START DATE:
Immediate
